Creation of Policy
Policies of the chapter may be established by a majority vote in a business meeting. or through due process by the Executive Committee. (adopted 5/00)
Membership Dues
Dues are payable by 1 December of each year, following payment of dues to the national UUMA.
Alcohol
Alcohol at chapter events shall be provided voluntarily by members, along with non-alcoholic beverages. No alcohol shall be served immediately before departure for travel. (8/98)
Scholarships and Subsidies
A ten dollar fee will be added to each retreat registration fee to build a stable Scholarship and Subsidy Fund.

Scholarships of $100 or less will be distributed by the registrar on a first-come, first-serve basis from funds designated and collected for scholarships for a particular retreat. If additional funds are requested beyond the collected scholarship funds for the retreat, the registrar will confer with the Treasurer to determine if any reserves are available for the retreat. For scholarships larger than $100 a request detailing the circumstances should be sent to the Treasurer who will make a decision in consultation with the President and Registrar, on a case-by-case basis.
Travel subsidies are available for ministers who must travel great distances to participate in chapter activities but do not have professional expenses to cover such travel. Requests for travel subsidies should be sent to the Treasurer who will make a decision in consultation with the President upon review of the request and the determination of current available funds.
Children at Retreats
Chapter member's infants (children who are not yet walking) are welcome to attend retreats with their parent/s. Scholarship funds are available for registration fees, to allow other funds to pay for childcare while on UUMA

Retreat Registration Refunds
The chapter shall not grant refunds for any reason if the registration is cancelled after the registration deadline.

PCD Staff Presence at Retreats
A lay District Executive shall be invited annually to part of the Fall or Spring UUMA retreat at the discretion of the

Honorarium
Our honorarium fee schedule will match or exceed the continental UUMA recommendations.
Grants
In support of serving our professional colleagues in their ministries, the UUMA-PCD dedicates a portion of its yearly financial reserves to giving grants to activities or organizations dedicated to enhancing and extending values of
Unitarian Universalism within our chapter and the greater community. We will consider a broad range of projects or programming, from social justice and humanitarian work, lobbying efforts, to supporting joint Unitarian Universalist
programming and ministerial development in which an individual or group of our UU colleagues are involved and benefit from. Priority for grant review will be given to a request which uses funds in collaboration with other collected funds, ministries or bold programming which will have a greater impact in the respective community or region.
Application Process
Applications for a UUMA-PCD grant will consist of a letter from a current member of the chapter to the UUMA-PCD Treasurer with a description of the project and anticipated impact that the funds would support. Please attach a requested budget, showing any matching funds already received or applied for. Letters of support from colleagues will
also enhance an application review. It is requested that grant applications be sent two months prior to the Spring
meeting.
Grantees who have received grants in the past may also apply for another year of grants by following the above procedures. A description of how the funds were used in previously years should also be included with their request.
All applications will be reviewed preliminarily by the Chapter’s Executive Grant-review Team to ascertain if the grant requests are within the Chapter’s guidelines for grants. If the requests are found to be inconsistent or lacking, the Treasurer will communicate with the sender about the Team’s reasoning.
Grant-review Team
The Grant-review Team will consist of the current UUMA-PCD Treasurer, the Vice President of the Chapter (in charge of programming) and a member not on the Executive Committee and appointed annually by the President of the Chapter. At least one of the three people will be a colleague who is not a resident of California. The term of membership on the Team will coincide with the Chapter’s election cycle.
Decision-making Process
All appropriately determined requests will be presented to the chapter membership for a vote by the Chapter body at the Spring meeting by the Treasurer along with the recommended amount available from Chapter funds for grant allocation and any Grant-review Team recommendations for allotment. The proposals will be presented, debated, amended and a final result adopted by membership majority vote.
Emergency or urgent requests requested earlier in the year will be reviewed for a decision by the Executive Committee, without the need of a vote by the entire Chapter membership.
